Job Title: Facility Administrative Assistant

Reports To: HR Manager

Job Summary: The Facility Administrative Assistant will provide comprehensive administrative support to various departments within the plant, including Human Resources, Quality Assurance, Safety, Plant Management, and Engineering. This role involves managing daily administrative tasks, coordinating events, maintaining records, and assisting with employee engagement activities.

Key Responsibilities:

Daily Tasks:

Perform daily mail checks for HR.

Manage termination mail outs.

Organize and maintain all employee documents.

Assist employees with applications (WellRight, ADP, Workday).

Assist with early morning shift rotations and meetings.

Weekly Tasks:

Send weekly reports on call-ins.

Check in on new hires twice a week.

Assist with supervisor touchpoint meetings.

Pay invoices.

Order supplies for various departments.

Monthly Tasks:

Prepare and deliver safety presentations of the month.

Assist with employee engagement needs and events.

Help maintain HR training records.

As-Needed Tasks:

Manage apartments and relationships (Harvest Creek & Landmark).

Maintain the master discipline log for attendance and performance.

Assist with new hire orientation.

Assist all departments with visitor arrangements (swag, food, setting up rooms).

Support the SharePoint project.

Assist with setting up job fairs.

Make reservations for visitors.

Assist HR team members with benefit sign-ups (Health screenings, WellRight, etc.).

Coordinate food and catering needs.

Assist with departmental events (Safety Week, Quality Awareness).

Qualifications:

High school diploma or equivalent; additional qualifications in office administration are a plus.

Proven experience as an administrative assistant or in a similar role.

Proficiency in MS Office (MS Excel and MS Word, in particular).

Excellent time management skills and the ability to prioritize work.

Attention to detail and problem-solving skills.

Strong organizational skills with the ability to multi-task.

Excellent written and verbal communication skills.

Working Conditions:

This position is based in a plant environment.

The role may involve early morning or late evening shifts to accommodate plant operations.
