We are excited to announce an opportunity for an Administrative Assistant role with one of our clients in Honolulu, Hawaii. This position is ideal for an individual who is highly organized, detail-oriented, and enjoys working in a dynamic and collaborative environment. In this role, you will support a variety of administrative tasks crucial to the organization's operations.
Key Responsibilities:
Maintain and update organizational databases, ensuring data entry is precise and records are consistently accurate.
Provide assistance in processing and monitoring financial transactions, generating reports, and supporting basic accounting functions when necessary.
Organize and oversee files and supporting documentation to ensure compliance and facilitate audit preparation.
Prepare and distribute correspondence, such as thank-you letters and various other communication materials, in a timely and professional manner.
Coordinate and manage mailings, digital communications, and contact lists for events, newsletters, and related outreach efforts.
Provide support in the planning, coordination, and execution of events, with occasional flexibility for overtime hours.
Maintain and synchronize information across internal systems to ensure accuracy and data integrity.
Offer general administrative assistance for internal operations, including meeting preparation and support for community activities.
Take on additional administrative tasks as required to enhance overall team efficiency and productivity.
Requirements
Bachelor's degree is preferred
Minimum of three years of office experience
Proficiency with Salesforce or similar customer relationship management (CRM) software
Strong skills in MacOS, Google Workspace, and Microsoft Office Suite
Exceptional written and verbal communication abilities
Proven ability to work collaboratively within a team environment
Self-motivated and capable of taking initiative to solve problems effectively
