Description We are looking for a detail-oriented and organized Administrative Assistant to join our team in Jacksonville, Florida. In this long-term contract position, you will play a vital role in supporting various administrative and operational tasks to ensure smooth workflows. The ideal candidate will possess strong communication skills and thrive in a collaborative and focused environment.
Responsibilities:
Facilitate the vendor setup process by determining required contract packages and gathering all necessary documentation.
Manage the creation and processing of purchase orders for vendors.
Oversee job start information, including structural and interior options for homes.
Review sales contracts to ensure all details are complete and accurate.
Distribute vendor packets and customer experience touchpoint surveys, including welcome letters when necessary.
Maintain organized records by archiving contracts and uploading certificates of occupancy and related documents.
Handle email correspondence, inbound and outbound calls, and appointment scheduling.
Provide exceptional customer service by addressing inquiries promptly and professionally.
Utilize Microsoft Office Suite tools to manage data entry and create presentations as needed.
Ensure confidentiality while working with sensitive information. Requirements - Minimum of an Associate's Degree or equivalent relevant experience.
At least 2-3 years of experience in an administrative support role, preferably in the construction or homebuilding industries.
Strong proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
Excellent communication, organizational, and interpersonal skills.
Ability to manage confidential information with discretion and professionalism.
Detail-oriented with a high degree of accuracy in administrative tasks.
Experience in answering inbound calls, managing email correspondence, and scheduling appointments.
