Our client is a non-profit organization that is dedicated to empowering minority youth in urban environments through educational programs and initiatives that foster growth, opportunity, and community engagement. They are currently seeking an Administrative Assistant to join their team! This role requires a versatile, computer-savvy individual who can manage administrative tasks efficiently and support program operations for maximum impact. The ideal candidate will possess strong customer service skills, work autonomously, and bring a proactive approach to supporting our mission.
Key Responsibilities:
Calendar Management: Organize and oversee scheduling for the Vice President (VP) & Chief Program Officer (CPO) to ensure optimal efficiency.
Registration Audit: Conduct daily audits of programs department participant registrations to maintain accuracy and compliance with organizational standards.
Goal and Outreach Tracking: Update and manage participant goal and outreach trackers daily for departmental reporting.
Collateral Assembly: Prepare meeting materials, program documents, and collateral for partnership presentations.
Programs Board Packet: Assemble and organize the quarterly Board packet, ensuring all materials are accurate and professionally presented.
Presentation Creation: Assist program leaders in the creation of PowerPoint presentations for meetings and events.
Meeting Minutes: Document and distribute meeting minutes for Program Leaders, ensuring all follow-up actions are clear and actionable.
Correspondence Preparation: Compose and prepare letters, including partnership communication and participant outreach.
Policies and Procedures Updating: Update and refine Programs departmental Standard Operating Procedures (SOPs).
Training Manual Assembly: Assemble training manuals for the organization's different initiatives.
Administrative Support: Handle other administrative tasks as assigned.
Requirements
Technical Skills:
Proficiency in Microsoft Office Suite with advanced knowledge of Excel and PowerPoint.
Familiarity with CRM and data analytics systems preferred.
Skilled in email programs and communication platforms.
Strong typing and data entry abilities with a focus on accuracy.
Soft Skills:
Exceptional attention to detail and ability to multitask.
Effective communication and interpersonal skills with a focus on customer service.
Self-motivated and capable of working autonomously while meeting deadlines.
Willingness to learn and improve processes through suggestions and proactive contributions.
