We are looking for a detail-oriented Administrative Assistant to join our team in Princeton, New Jersey. In this long-term contract position, you will play a pivotal role in ensuring smooth day-to-day operations through effective coordination and organizational support. Responsibilities:
Coordinate logistics for events, including scheduling, catering arrangements, and venue setup.
Handle email correspondence with professionalism and accuracy, ensuring timely responses to inquiries.
Manage inbound and outbound phone calls, providing excellent communication and customer service.
Organize and oversee travel arrangements for staff, ensuring all details are accurately planned.
Utilize Microsoft Outlook to manage calendars, schedule meetings, and maintain organized communication.
Process expense reports through Concur and ensure timely submissions.
Foster relationships with vendors and ensure services are delivered according to expectations.
Assist in the planning and execution of special events and meetings, ensuring all requirements are met.
Maintain organized records and documentation to support administrative functions.
Collaborate with team members to improve efficiency in office operations.
Requirements - Proven experience in administrative roles, preferably in a non-profit setting.
Proficiency in Microsoft Outlook for managing emails and calendars.
Strong skills in event coordination, including catering and logistics planning.
Familiarity with Concur expense reporting system.
Excellent verbal and written communication abilities.
Ability to manage vendor relationships and ensure timely service delivery.
Strong organizational skills with attention to detail.
