We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to a team of consultants. This is a
long-term contract employment opportunity located in Newark, Delaware. The industry requires the expertise of an individual who can effectively manage various administrative tasks. Your primary focus will be assisting the consulting team with administrative tasks, travel arrangements, and meeting coordination, ensuring seamless workflows to support their success
Key Responsibilities:
Team Support:
Act as the primary point of contact for administrative needs for the team of consultants (Source: Organizational Support Guidelines).
Prepare, format, and edit correspondence, reports, presentations, and documents as requested.
Manage calendars for multiple consultants to ensure time is allocated effectively and priorities are met.
Travel Coordination:
Plan, arrange, and confirm domestic and international travel itineraries, including flights, accommodations, ground transportation, and necessary documentation (Source: Travel and Meetings Best Practices).
Handle last-minute changes to plans and provide quick resolutions when travel disruptions occur.
Process travel expense reports and reimbursements in a timely and accurate manner.
Meeting Coordination:
Schedule, organize, and manage meetings, including conference calls, virtual meetings, and in-person engagements.
Prepare meeting agendas, attend meetings to take notes, and manage follow-ups by tracking action items.
Liaise with vendors and staff for event-related logistics such as catering, venue arrangements, and technical requirements.
Administrative Operations:
Maintain and update project trackers, client databases, and team-specific documentation to ensure data accuracy and accessibility.
Manage confidential information with professionalism and in compliance with company policies.
Order office supplies and ensure necessary materials are available for consultant-specific needs.
Communication Support:
Coordinate and distribute internal and external communication on behalf of the consulting team.
Build and maintain professional relationships with clients, partners, and internal stakeholders.
Respond to email and other inquiries in a timely and professional manner.
Requirements - Proficiency in Microsoft Word is required, as it is crucial for document creation and editing tasks.
Proficiency in Microsoft PowerPoint, as it is needed for creating presentations and reports.
Ability to schedule appointments effectively, managing calendars for multiple team members if necessary. TalentMatch®
