Position Title: Administrative Assistant
Department: MIfflin County Probation
Purpose of Position
The purpose of this position is to provide administrative support to the Probation Office.
Essential Duties and Responsibilities
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and/or assigned.
Prepares, files and distributes legal correspondence, such as pre-sentence reports, parole orders, work-release papers, etc.
Prepares statistical and other reports on clients; prepares and distributes commitment forms for clients sent to state correctional institution.
Enters client data into the computer. Maintains all related files.
Schedules juvenile hearings with Court Administrator; appoints conflict attorney when necessary; notifies all affected parties of the time and date of hearing.
Reviews invoices and distributes payments; performs background checks for agencies and officers.
Greets public providing assistance as required; answers telephones; schedules appointments for probation officers; and opens, reviews and distributes mail.
Minimum Training and Experience Required to Perform Essential Job Functions
High-school graduate with one year secretarial experience or any combination of education and experience which provides equivalent knowledge skills and abilities.
Physical Requirements
Ability to operate a variety of office equipment including, computer, calculator, @typewriter, telephone, etc.
Mathematical Ability
Ability to add, subtract, multiply, divide and use of a spreadsheet and all related math functions.
Language Ability and Interpersonal Communication
Conversant in legal terminology and various legal documents.
Ability to use prescribed formats and conforming to all rules of punctuation, grammar diction and style.
Ability to record and deliver information, explain procedures, and follow instructions.
Ability to effectively communicate verbally and in writing with attorneys, judges, school personnel, probation officers and others.
Environmental Adaptability
Ability to work effectively in an office, computer and Internet environment.
Ability to use software such as MS Word and probation related software. Maintain proficiency in the appropriate software.
