QUALIFICATIONS: High school diploma or equivalent with vocational/ technical training in Secretarial Science or a related field and one (1) year of responsible secretarial experience, or any combination of education and experience that provides equivalent knowledge, skills and abilities.
Must have a valid driver's license, satisfactory pre-employment drug screen, FBI fingerprinting, background check, and Child Abuse Clearance.
Summary: The primary responsibility of the Administrative Assistant is to provide administrative/secretarial support to the Chief Adult/Juvenile Probation Officer and Probation Department. A variety of office management functions are performed including maintaining Juvenile Delinquency and Dependency permanent court files, data entry functions for Court of Common Pleas Case Management System (CPCMS) and both adult and juvenile case management programs.
The position is also is responsible for the collection of all fines, costs, fees, and restitution ordered by the Court and assists with the active and inactive collection caseload.
Many duties performed are highly confidential. The duties are performed under the direction of the Chief Adult/Juvenile Probation Officer.
Essential Functions: The following duties indicate the general nature and level of work performed by the Administrative Assistant. They are not designed to contain or be interpreted as a comprehensive inventory of all duties, responsibilities and qualifications required of this position. Other duties may be required or assigned at anytime by the Chief Adult/Juvenile Probation Officer, or the Court.
Greet, screen, direct and assist callers and visitors for Adult & Juvenile Probation Services.
Takes and relays messages and provides information regarding department policies and procedures.
Checks clients in for appointments and notifies Probation Officers.
Provide administrative/secretarial support to the Probation Staff and create files to assist in planning and execution of daily activities.
Process incoming/outgoing mail including certified mail for the department.
Perform routine filing and file maintenance duties.
Delivers court documents and permanent files to and from the Courthouse twice daily, including checking the dropbox.
Processes mail through mail machine and delivers to mailbox on daily basis.
Provides clients with appropriate Probation intake forms after Court and notifies a Probation Officer once completed.
Assists with monitoring active and inactive collection cases which includes contacting defendants via phone, text, mail, email, and during office appointments to enforce collections.
