We are looking for a highly organized and detail-oriented Legal Administrative Assistant to join our team in Washington, District of Columbia. This is a Contract to permanent position, offering an excellent opportunity to transition into a long-term role. The ideal candidate will provide essential administrative support to attorneys, assist in managing daily operations, and ensure the smooth execution of legal tasks in a meticulous and efficient environment. Responsibilities:
Coordinate and manage complex travel arrangements, including booking flights, accommodations, and transportation for attorneys.
Maintain and organize attorney calendars, scheduling meetings, and ensuring there are no conflicts.
Process expense reports and reimbursements using Concur software with accuracy and timeliness.
Assist with preparing and organizing binders, documents, and materials for meetings and legal proceedings.
Collaborate with office service coordinators to arrange in-office meetings and greet clients with professionalism.
Perform light legal research and support attorneys across various practice areas, including IP, Litigation, and Anti-Trust.
Utilize document management systems like NetDocs to organize and retrieve files efficiently.
Set up virtual meetings using Microsoft Teams and coordinate with the IT team to resolve any technical issues.
Ensure all tasks and communications are handled with a high level of attention to detail and precision.
Requirements - A minimum of 2 years of experience in a legal administrative role, with 3-5 years preferred.
Prior experience in a large law firm environment is required.
Familiarity with legal practice areas such as IP, Litigation, and Anti-Trust is highly desirable.
Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel, as well as Concur and NetDocs.
Strong organizational skills and the ability to manage multiple priorities effectively.
Excellent verbal and written communication skills, with the ability to interact professionally with attorneys and clients.
High attention to detail and the ability to work independently with minimal supervision.
Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
