Description We are looking for a detail-oriented Administrative Assistant to provide essential support to our team in Butler, Indiana. As this is a contract position, you will play a key role in ensuring the smooth operation of daily business activities through a variety of administrative tasks. Your ability to manage schedules, coordinate meetings, and handle confidential matters will be critical to success in this role.
Responsibilities:
Manage inbound and outbound phone calls, ensuring timely and effective communication.
Create and edit presentations, spreadsheets, and other business documents using various software applications.
Coordinate travel arrangements, including booking accommodations and preparing travel itineraries.
Organize and schedule meetings, including preparing agendas and tracking follow-up items.
Handle expense reporting and maintain accurate financial records for the team or department.
Assist with preparing departmental reports and ensuring quality assurance standards are met.
Support the team by managing and prioritizing daily administrative tasks under direct supervision.
Maintain confidentiality while handling sensitive information and documentation.
Collaborate with team members to streamline processes and improve operational efficiency.
Provide support for special projects as needed, ensuring deadlines are met. Requirements - Proficiency in business software applications, including word processing, spreadsheets, and presentation tools.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent verbal and written communication skills for handling calls and correspondence.
Experience in coordinating meetings, including preparing agendas and maintaining schedules.
Ability to handle expense reporting and financial tracking with accuracy.
Familiarity with arranging business travel and preparing itineraries.
Attention to detail and a commitment to maintaining confidentiality.
