JOB SUMMARY
Provides high-level administrative support to Human Resources (HR) leaders and staff members. Serves as a liaison between HR and all internal and external customers. Coordinates administrative resources across the HR department and supports key HR processes. Performs other duties of a similar nature as may be required.
ESSENTIAL FUNCTIONS
Provides high-level administrative support to department leadership through activities including coordination of HR activities, responding to public records requests and making travel arrangements.
Performs clerical and administrative tasks including drafting memos, agendas, documents, reports and other correspondence for department leadership. Schedules meetings on behalf of department leadership. Attends meetings, takes notes and records minutes as required.
Receives communications or memos from department leadership for review and distribution to staff.
Manages the procurement process, contracting and invoicing for the department. Ensures that expenses are accurately tracked in relation to the department budget. Prepares, presents, distributes and provides general oversight of the HR budget.
Responds to incoming employee inquiries via the HRDirect line and forwards complex inquiries to appropriate HR team members for assistance. Maintains metrics on employee inquiries and records answers to routine questions. Responds to employment verification requests.
Organizes, allocates and sets priorities for resource utilization to best support the department director. Orders supplies and maintains inventory based on department needs.
Maintains good public relations by greeting internal and external customers and directing them to the proper location and/or contact for assistance.
Completes all required tasks with the highest level of confidentiality.
Performs other duties of a similar nature as may be required.
MINIMUM JOB REQUIREMENTS
EDUCATION
Candidate must possess an associate degree preferably in Business Administration or a closely related field.
Equivalent combination of relevant education and experience may be substituted as outlined in the Education Equivalencies Policy.
EXPERIENCE
Candidate must possess five (5) years of executive and/or administrative assistant experience reporting to department leadership. Experience must include budget preparation and management, presentation development and office management.
Previous experience in Human Resources preferred.

Candidate must be proficient in Microsoft Office Suite including Word, Excel, Teams, Outlook and PowerPoint.
