Description
We are seeking a detail-oriented and proactive Construction Administrative Assistant to support a busy construction office. This is a full-time, temporary position expected to last 8 to 10 months. The ideal candidate must have experience in the construction industry, as you'll be supporting project managers, superintendents, and vendors in a fast-paced, field-based environment.
·Key Responsibilities:
Greet and direct visitors to the project office/site.
Provide full administrative support for construction project documentation, including submittals, RFIs, timesheets, expense reports, purchase orders, and follow-ups.
Distribute design revisions, bulletins, and other key documents to the Project Manager, Construction Management, and Superintendent.
Ensure completion of all project-related documentation and assigned deliverables.
Assist the Project Manager/Construction Manager with scheduling and resource planning.
Coordinate with vendors and suppliers for orders and deliveries.
Maintain and distribute project meeting minutes.
Assist the Superintendent with new hire paperwork and orientation.
Respond to internal and external inquiries with appropriate communication.
Maintain project files, databases, and archived records.
Schedule and coordinate project meetings and related activities.
May manage expense reporting, office supply inventory, and other routine administrative tasks.
Perform other duties as assigned.
Requirements
Minimum 3+ years of experience in an administrative role, within the construction industry.
Construction industry experience is required-please do not apply without relevant background.
Strong organizational and communication skills.
Proficient in Microsoft Office and project documentation systems.
Bilingual in English and Spanish is a plus.
Ability to multitask, prioritize effectively, and work in a fast-paced environment.
