JOB REQUIREMENTS: Key Responsibilities: Answer telephones, respond to
inquiries, take messages, and direct calls appropriately Greet visitors
and callers, handling their needs or directing them to the right person
Create, maintain, and enter accurate information into our databases
Operate office equipment (fax machines, copiers, phone systems) and
arrange repairs when needed Set up and manage paper and electronic
filing systems Manage scheduling and calendars; confirm and coordinate
appointments for clients and staff Prepare and distribute meeting notes,
reports, and other correspondence Complete forms and documentation in
accordance with company procedures Open, read, and distribute incoming
mail and respond to routine correspondence Conduct internet searches to
find needed information quickly and accurately Support event planning by
preparing flyers, invitations, and conference materials Order office
supplies and manage inventory Learn and implement new office
technologies as they are introduced Provide top-notch customer service,
including assisting with order placement or account updates Help manage
projects and assist with team initiatives ** OTHER EXPERIENCE
AND QUALIFICATIONS: Fluent in English and Spanish (both written and
verbal) Previous administrative experience (experience in staffing or HR
a big plus!) Excellent communication and interpersonal skills Proficient
in Microsoft Office (Word, Excel, Outlook, Teams) and comfortable with
database management Strong organizational skills with the ability to
prioritize and multitask Friendly, professional demeanor and a strong
attention to detail Comfortable working independently and as part of a
