We are seeking a highly organized and efficient administrative assistant or legal secretary for a law firm in El Paso, Texas. The ideal candidate will provide administrative support to legal staff, assist in preparing legal documents as necessary, maintain client files, and ensure the smooth operation of the legal office. This staff member will play a crucial role in facilitating communication between attorneys, clients, and other parties involved in legal proceedings.
Job Description
Responsibilities:
Maintain and organize physical and electronic files, including client records, correspondence, and case documents according to office protocols.
Manage attorney calendars, schedule appointments, and coordinate meetings and court appearances.
Communicate effectively with clients, court personnel, and other attorneys to schedule hearings, client appointments, and meetings.
Handle incoming and outgoing correspondence, including mail, emails, and phone calls.
Perform administrative tasks such as filing, photocopying, scanning, and faxing documents.
Assist with billing and invoicing tasks, including tracking billable hours and preparing client invoices.
Maintain confidentiality and discretion when handling sensitive information and legal matters.
Assist attorney in preparing and drafting legal documents such as briefs, pleadings, contracts, and agreements as directed.
Collaborate with other legal support staff and office building staff to ensure the efficient operation of the legal office.
Requirements:
Proven experience as administrative assistant or legal secretary in a law firm or legal department.
Proficiency in computer usage (PC), Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with legal and case management software applications (MyCase, FormBuilder).
Notary Public Certification (must qualify for, pay application and bond fee and complete training required by Texas Secretary of State,seehttps://www.sos.texas.gov/statdoc/notary-public.shtml)
Excellent organizational skills and attention to detail.
Strong written and verbal communication skills in English and Spanish.
Must not have been convicted of a felony offense in any state.
Ability to prioritize tasks and manage time effectively in a fast-paced environment.
Familiarity with legal terminology and procedures.
Ability to work independently with minimal supervision.
Working hours are 9:00 a.m. to 3:00 p.m., Monday through Friday
Salary depends on experience and trainability.
Job Type: Part-time
Pay: $15.00 - $17.00 per hour
Expected hours: 25 per week
