Key Responsibilities
Frontline Communications:
Serve as the first point of contact by answering phones with professionalism and positivity.
Gather critical details from callers, distribute information to relevant managers, and log details in an Excel tracker.
Administrative Support for Projects:
Support construction managers/estimators by scanning/uploading contracts and ensuring deposits are entered into the system accurately.
Generate and distribute warranties, organizing them into client files for easy access.
Scan and organize receipts and other documentation.
Email Management & Organization:
Manage the owner's email inbox by filtering important messages from spam, prioritizing essential communications, and flagging urgent issues.
Miscellaneous Duties:
Coordinate tasks like titling vehicles, paying bills online, and implementing edits to social media in collaboration with the Social Media Manager.
Assist with scheduling and keep the owner on track with calendar alerts and meeting reminders.
Answer or field calls for the owner's work phone as needed.
