Job Function/Purpose
The Administrative Assistant will assist the Escrow, Customer Service and Special Loans Departments based on the production demands of the departments. In Escrow, this position opens daily insurance mail, sorting by month/day, sorting by escrowed insurance vs non-escrow insurance, and file in the appropriate date organizer for team members to work. After all insurance mail has been opened and sorted, the position assists the Customer Service Department in opening their mail, process address changes, process ACH requests and send appropriate correspondence to borrowers. All other Customer Service mail is forwarded to the back office of the Customer Service Department. In the Special Loans Department, this position assists in processing the semi-annual Skip-a-Payment requests.
After all mail is opened and processed, the position assists the Escrow Department with working insurance mail by updating non-escrowed insurance lines and works on tax certifications for non-escrowed tax lines.
Accuracy, attention to detail and timely completion of the tasks involved are essential.
Qualifications
High school diploma/GED is required.
Administrative and/or banking experience preferred.
Working knowledge of Microsoft Word and Excel.
Excellent customer service and interpersonal skills required.
Able to manage time efficiently, prioritize tasks, meet deadlines, and coordinate multiple and changing priorities in a demanding environment.
Principal Activities/Objectives
Open, sort, and file insurance mail for Escrow Department.
Open mail for Customer Service Department and process Address Changes and ACH requests.
Assist the Special Loans Department in processing Skip-a-Payments requests.
Scan and Index documents into file
storage software for departments.
Assist Escrow Department in processing non-escrowed insurance information.
Assist Escrow Department certifying non-escrowed tax lines.
Assist departments in administrative tasks based on the demands of the departments.
