Description
We are looking for a dedicated and detail-oriented Office & Accounting Administrative Assistant to join our team in Brunswick, Ohio. This is a Contract-to-permanent position that offers a unique opportunity to grow within the organization. The role serves as the first point of contact for the corporate office while supporting various administrative and accounting functions.
Responsibilities:
Greet and assist all visitors in a courteous and attentive manner, including co-workers and delivery personnel.
Manage incoming and outgoing office mail, including overnight deliveries, ensuring timely distribution.
Maintain office supplies by placing orders, tracking inventory, and handling general supply requests.
Coordinate special events, prepare mailings, and assist with other administrative tasks as needed.
Support the accounting team with purchasing card accounting and data entry for off-site storage systems.
Handle expense reports, process invoices, and provide backup support for payroll operations, including weekly payroll for over 650 employees.
Assist with new employee setup in the payroll system and maintain organized payroll documentation.
Ensure the conference room is presentable and arrange meals for meetings when necessary.
Participate in cross-training opportunities to expand skills in areas such as payroll management and advanced accounting functions.
Requirements - Proficiency in accounting software systems such as ADP, CaseWare, and Concur.
Strong understanding of core accounting functions, including accounts payable, accounts receivable, and bank reconciliations.
Familiarity with ERP systems and general financial processes.
Excellent organizational skills with the ability to manage multiple tasks effectively.
Strong communication skills to interact professionally with team members and external parties.
Ability to adapt and grow within the role, with a willingness to take on new responsibilities.
Prior experience in payroll processing and document management is a plus.
High attention to detail and a commitment to maintaining accuracy in all tasks.
