Description We are looking for a detail-oriented Administrative Assistant to join our team in Saint Paul, Minnesota. This is a Contract-to-permanent position ideal for someone who thrives in a fast-paced office environment and has a strong ability to multitask. The role involves supporting daily office operations, maintaining administrative systems, and providing excellent service to both internal and external stakeholders.
Responsibilities:
Welcome and direct visitors while managing the electronic check-in process and handling approximately 50 incoming calls daily.
Oversee mail and package operations, including sorting and distributing incoming items and preparing outgoing packages and courier deliveries.
Maintain office supplies by monitoring inventory, placing orders, and coordinating business card and stationery requests.
Manage office services by liaising with vendors for janitorial, pest control, copier, vending, and coffee services.
Reserve conference rooms, arrange catering for meetings, and process P-card allocations and bond requests.
Administer the visitor management platform, ensuring accurate updates and maintenance.
Monitor shared email inboxes, scan and index documents, and process permits as needed.
Provide support to the accounting team by sorting mail and organizing documents.
Assist with vendor and customer setups and maintain accurate records for internal systems. Requirements - Demonstrated ability to build and maintain positive relationships with colleagues, clients, and external contacts.
Proficiency in administrative practices such as filing, word processing, and records management.
Experience with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
Strong communication skills with excellent grammar, spelling, and composition.
Proven ability to handle multiple tasks and prioritize effectively in a team-oriented environment.
Competence in managing inbound and outbound calls, email correspondence, and data entry.
Familiarity with scheduling appointments and coordinating meetings.
