Essential Duties and Responsibilities:
The Administrative Assistant in the Construction Department supports the Department Manager, Project Managers and Assistant Project Managers in the department.
Responsible for Daily Construction Corner (daily update memo to Construction department)
Check mailboxes - check department manager's mail slot in mail room and his/her desk for anything that may have approved the day before.
Confirm all department personnel time is entered in the portal and entered correctly (holiday, vacations, etc.) and ensure manager approves in a timely manner.
Enter time for Department Manager
Update Department Manager's calendar to show approved and last minute time-off requests
Responsible for coordination of WIPS (Work in Progress meetings)
Submit expense reports on behalf of Department manager
Responsible for Dept. 01 Calendar invites - create calendar for the month and send out email to Project Managers for production meetings, ensuring there is no conflict. Once calendar is approved by Department Manager, responsible for sending out necessary calendar invites for the month
Responsible for staff meetings and updating agenda monthly
Print Bulk Qty of forms for Field (Scissor Lift Inspections, Sign-In Sheets) etc.
Print and laminate Safety Forms for Field
Arc Flash Labels for Field - print and cut
Print Drawings for Field
Send Drawings out for Field to vendor
IT Request/Check request - retrieve all signatures needed and submit to appropriate departments for new hires and temps
Panduit Labels for the field.
Warranty Letters - Log into spreadsheet and file letters into appropriate folders on the M Drive
Panel Schedules - @type up and print out and place in sleeves
Backup to the front desk receptionist when needed
Physical Requirements
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

Compensation Range: $50,000 - $65,000
