Description We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Faribault, Minnesota. In this role, you will provide comprehensive administrative support to leadership, ensuring smooth operations and effective communication across teams. This position is ideal for someone with strong organizational skills and the ability to manage multiple responsibilities in a fast-paced environment.
Responsibilities:
Provide administrative support to leadership, including assisting with hiring-related activities and daily operational tasks.
Facilitate effective communication by collaborating with leaders, co-workers, District Managers, and both store and warehouse employees.
Work closely with suppliers, contract haulers, and service providers to maintain strong business relationships.
Prepare and distribute reports to support informed decision-making by management.
Manage and maintain accurate records for truck schedules, tour plans, and order deadlines using applicable systems.
Identify, investigate, and report any irregularities within assigned areas of responsibility.
Conduct training sessions and cross-train team members to ensure knowledge transfer and operational continuity.
Maintain an organized filing system for departmental documents, ensuring compliance with company guidelines for archiving and disposal.
Communicate with internal and external auditors as necessary to provide required information.
Provide general office and administrative support as needed, including responding to ad hoc requests from divisional management. Requirements - Minimum of three years of experience in an administrative or support role.
Proficiency in Microsoft Excel, Microsoft Teams, and SharePoint Administration.
Strong knowledge of logistics, customer service, and warehouse operations.
Experience with accounts payable and purchase order processes.
Skilled in maintaining personnel files and managing onboarding paperwork.
Ability to create and analyze ad hoc reports to address operational needs.
Excellent organizational and time management skills with attention to detail.
