This is an exciting opportunity for an enthusiastic candidate to work as a Community Based Services Office Support Specialist in Faribault, MN. This position exists to coordinate and support the operations of Community Based Services; develop, implement and monitor effective workflow systems, monitor expenditures, and provide administrative support/services to leadership and CBS staff. This position includes a wide range of activities to ensure that services and program deadlines are met according to established guidelines, rules, and statutes. The incumbent is expected to research and respond to issues that may have no immediate solutions within established procedures and guidelines. This position supports all divisions within CBS but focuses on MSOCS Vocational Services with ensuring compliance with Department Labor and Waiver Service Billing Standards and processes through fair, consistent payroll processing and report generation.
Responsibilities will include, but are not limited to:
Support MSOCS Vocational Services continued compliance with Department of Labor and Waiver Service Billing Standards.
Provide administrative assistance to the Vocational Services supervisors including but not limited to payroll processing, report generation, and effective communication as the liaison within MSOCS Vocational Services.
Provide clerical services to leadership throughout DCT/CBS as assigned.
Support CBS supervisors and managers with scheduling employees; this position will serve as the CBS application administrator for our scheduler software.
Minimum Qualifications
Must possess a valid driver's license as required for the assigned work as position requires use of state vehicle.
Customer Services skill sufficient to provide information to CBS staff, individuals, public, including phone calls, emails and walk-in contacts in helpful and courteous manner.
Data Entry skills sufficient to create database records and update entries or create and apply the basics of spreadsheets and supply/retrieve information in databases.
English Language skills sufficient to write, speak, and/or read to compose correspondence with accurate spelling, grammar and punctuation; and to communicate effectively with co-workers, customers and the general public.
Math skills sufficient to add, subtract, divide, calculate averages.
Spreadsheets skills sufficient to develop and modify basic spreadsheets, sort and extract data.
Typing/Keyboarding skills sufficient to complete a variety of reports, letters, email and data summaries.
Word processing skills sufficient to develop and modify a variety of correspondence, records and reports; perform mail merges, develop forms and charts.
Preferred Qualifications
