Job Description: Administrative Assistant
Position Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to an executive leader in our faith-based organization. The ideal candidate will play a vital role in ensuring the smooth functioning of operations while fostering the organization's core values and mission. This position requires a professional who is proactive, service-oriented, and is comfortable working in a faith-based environment.
Key Responsibilities:
Administrative Support:
Manage and maintain the Manager's calendar, including scheduling meetings, appointments, and travel.
Act as the primary point of contact between the executive and internal/external stakeholders.
Prepare reports, presentations, meeting agendas, and correspondence as needed.
Administrative Duties:
Draft and edit written communications, ensuring all materials align with the organization's faith-based values.
Organize and maintain confidential records, files, and documents.
Coordinate logistics for events, including board meetings, community outreach programs, and donor engagements.
Mission Alignment:
Actively demonstrate the organization's values in all interactions and work processes.
Ensure that communications and initiatives support the faith-based mission and ethical standards of the organization.
Stakeholder Management:
Collaborate with other staff and volunteers to support the executive's priorities and initiatives.
Build positive relationships with organizational partners, donors, and members of the community.
Problem-Solving and Resource Management:
Handle inquiries independently, escalating issues to the executive as appropriate.
Manage expenses and prepare expense reports with accuracy and timeliness.
Requirements
Qualifications:
Educational Background:
High school diploma required; associate or bachelor's degree preferred.
Coursework or certifications in administrative support, project management, or faith-based leadership are a plus.
Professional Experience:
A minimum of 3 years of experience as an administrative assistant, with prior experience supporting executives preferred.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with scheduling tools, donor management systems, and video conferencing platforms.

Outstanding written and verbal communication skills.
Discretion and confidentiality in handling sensitive information.
