We're looking for a highly organized and proactive Administrative Assistant to join our fast-paced, client-focused team. This role goes beyond traditional support duties-you'll be the operational backbone that keeps our leadership team and office running efficiently. From coordinating meetings and managing special projects to handling sensitive information and delivering exceptional internal and external service, you'll play a key role in maintaining high standards of professionalism and productivity. Key Responsibilities:
Provide high-level administrative and clerical support to the management team, handling confidential information with discretion.
Coordinate recurring and ad hoc meetings, including agendas, minutes, and follow-ups on action items.
Plan and execute logistics for training sessions, travel arrangements, and corporate events.
Manage and track special projects, ensuring deadlines are met and updates are clearly communicated to stakeholders.
Conduct weekly check-ins with management to align priorities and track progress across initiatives.
Oversee office inventory and equipment needs to ensure seamless day-to-day operations.
Serve as liaison and interpreter of management directives to internal departments in their absence.
Act as a point of contact for clients, handling transcript orders, estimates, and job inquiries with professionalism and efficiency.
Draft, review, and route correspondence, reports, and documentation as needed.
Utilize company platforms including Microsoft Office Suite, internal databases, scheduling tools, and email systems.
Provide receptionist coverage when needed, answering calls and greeting visitors.
Ensure compliance with HIPAA and all relevant confidentiality and medical record policies.
What You Bring:
Strong ability to work independently, manage multiple priorities, and meet tight deadlines.
Excellent interpersonal and communication skills-both written and verbal.
Positive, team-oriented attitude and the ability to build rapport across all levels of the organization.
Detail-oriented with strong organizational and time-management skills.
Comfortable navigating multiple software platforms (Microsoft Outlook, Word, Excel, Adobe Acrobat, etc.).
Familiarity with HIPAA compliance and handling of sensitive documents preferred.
Qualifications:
College degree preferred; equivalent combination of education and experience considered.
Minimum of 5 years of administrative support experience in a fast-paced, professional setting.
Demonstrated ability to manage multiple deadlines and cross-functional projects.
