Description
We are looking for a dedicated Front Desk Coordinator to join our team on a long-term contract basis in Brooklyn Park, Minnesota. This position is ideal for someone who thrives in a dynamic environment and enjoys providing exceptional administrative support while interacting with faculty, students, and industry partners. As part of a growing team, you will play a vital role in facilitating communication and ensuring smooth operations for customized training programs.
Responsibilities:
Serve as the primary point of contact for faculty and students, addressing inquiries and providing accurate information about training programs.
Coordinate administrative tasks, including scanning, filing, and organizing documents to ensure efficient record-keeping.
Collaborate with the marketing team to update the website with current class schedules and program details.
Prepare and distribute informational packets and materials to instructors and students.
Manage class rescheduling and communicate updates effectively to students and faculty.
Handle logistical tasks, including placing materials in designated locations and ensuring paperwork is delivered promptly.
Assist in developing one-pagers and other promotional materials in coordination with the marketing and communications teams.
Answer multi-line phone systems and provide concierge-level customer service.
Support faculty and students not yet enrolled in programs by guiding them through the enrollment process.
Perform data entry and maintain organized files to support program operations.
Requirements
Proven experience in administrative assistance or a related role.
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
Strong organizational skills with the ability to manage multiple tasks efficiently.
Excellent interpersonal and communication skills.
Familiarity with answering multi-line phone systems and providing exceptional customer service.
Ability to work collaboratively with various departments, including marketing and communications.
Experience with data entry and maintaining accurate records.
Knowledge of higher education environments or customized training programs is a plus.
