Join ColonialWebb to support our growing Manufacturing Department! As an Administrative Assistant, you will provide assistance to the operations team. This will include timekeeping, production records, coordinating inventory, and documentation.

A day in the life:
Process employees and skilled labor time and production. Includes review of timesheets, and other information to detect payroll discrepancies.
Create and issue inventory-related purchase orders; resolve invoice discrepancies related to inventory purchases.
Process all Manufacturing inventory transfers within the accounting system.
Prepare and distribute Sheet Metal Inventory Consumption Report.
Prepare and distribute Manufacturing Production Reports.
Prepare and distribute Job Cost Reports.
Project setup, billing, and closeout of direct Manufacturing Projects.
Coordinate Spooling communications in Procore, including distributing RFI responses, submittals, and updated drawings to the appropriate recipients.
Prepare and distribute production reports to managers.
Process and fulfill printed drawing requests for manufacturing teams.
You should have:
Previous administrative experience in the construction or manufacturing industry is preferred but not required.
Proven experience providing administrative support to business or project teams.
Advanced knowledge of Microsoft Outlook, Word, Excel and PDF editing software.
Ability to work independently with minimal supervision.
Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
Exceptional attention to detail and accuracy in all work.
Ability to communicate effectively and professionally with internal and external stakeholders
Ability to maintain a sense of urgency and remain calm when handling emergencies
Schedule: Full-time, Monday through Friday. Occasional evening and weekend work may be required as duties demand.Unscheduled overtime may be required, as necessary
