THE JOB
We're looking for a solid professional with excellent and proven experience working with C-level business leaders. Individual must be organized, love challenges, and be willing to learn some new skills. Pay for this position starts at $19/hour or more, DOE.
Answer, screen, and transfer phone calls and voicemail messages
Receive incoming client service requests from all platforms, including Excel spreadsheets
Promptly enter incoming client service requests into the CAPture system
Research incomplete addresses to verify information, as necessary
Advise managers and supervisors of all urgent service requests
Advise managers and supervisors of extraordinarily high order volume
Communicate with clients for any needed clarification of orders
Set up new client profiles
Set up recurring services
Greet clients and other visiting guests
Sort and distribute mail to the appropriate person/department
Extract and distribute electronic faxes and scans to the appropriate person
Sign for packages, prepare outgoing shipments, and track shipments
Prepare Certified Mail (as needed)
Run recurring daily, weekly and monthly client and internal reports
Create basic spreadsheets for management review and upon request from clients
Assist CAP management with changes to client presentation materials
Manage organizational chart and employee list
Manage insurance certificate holder and holiday card lists
Manage mass calendar invitations for in person and web-based conferences
Order office supplies
Assist management with special assignments
Other tasks as assigned
Minimum Qualifications
Minimum 2 years' experience as an administrative assistant for C-level executives
Strong grasp of proper English, spelling, and written sentence structure
Strong knowledge of Microsoft Office: including Word, Excel, PowerPoint, and Outlook
Ability to pick up on assigned miscellaneous tasks quickly
Ability to manage time and perform multiple tasks simultaneously
Ability to solve minor problems and implement solutions without assistance
General understanding of client specifications
Ability to navigate Web Applications in order to search and use CAP's website effectively
Ability to assist team members when needed
Willingness to be coached on a regular basis
