Job Location: Dallas, TX This position can be based in Dallas, TX or Hershey, PA The Hershey Company is looking for an Sr Administrative Assistant to support our Chief Customer Officer, leader of our sales organization. This role will provide essential support to our leader including managing schedules and travel, preparing presentations, and high-level communications to other executives, customers, and teams both internally within Hershey and externally with key customers. This role can be located in either Hershey, PA or Dallas, TX. ACCOUNTABILITIES: - Managing Schedules and Appointments: Coordinate and schedule meetings, appointments, and travel arrangements for executives and team members. - Handling Correspondence: Draft, proofread, and distribute emails, memos, and other forms of communication. - Organizing and Maintaining Files: Develop and maintain an efficient filing system for both physical and digital documents. - Office Management: Order office supplies, manage inventory, and ensure office equipment is properly maintained across multiple sites. There is an expectation for partnership with Corporate Facilities Management. - Preparing Reports and Presentations: Assist in the preparation of regularly scheduled reports, presentations, team meeting agendas, and other documents. QUALIFICATIONS: - Communication Skills: Excellent verbal and written communication skills are essential for drafting correspondence, interacting with clients, and coordinating with team members. - Organizational Skills & Attention to Detail: Strong organizational abilities are crucial for managing multiple tasks, maintaining files, and ensuring the office runs smoothly. - Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams) and other office software is necessary for preparing documents and managing schedules. - Time Management: Effective time management skills are needed to prioritize tasks, meet deadlines, and handle multiple responsibilities efficiently. - Problem-Solving Abilities: Strong problem-solving skills are important for addressing issues that arise and finding efficient solutions to administrative challenges. Education: A high school diploma or equivalent is required. An associate or bachelor's degree is preferred. Experience: 5-10 years of experience in an administrative role is preferred.
