Overview
The Billy Rose Theatre Division in the Library for the Performing Arts is seeking an Administrative Assistant to support the Theatre division by scheduling meetings, filing expense reports, ordering supplies, managing payment of honoraria to artists, scanning legacy paperwork, and similar administration tasks. This position will support all the new Harvey Fierstein Theatre Lab, the world-renowned Theatre on Film and Tape Archive (TOFT), our educational outreach efforts, and the staff who care for the circulating, general, and special collections of one of the world's largest public collections of historical theatre materials.
Responsibilities
Reporting to the Curator of the Billy Rose Theatre Division, the Administrative Assistant will:
Purchase supplies and files expense reports
Process invoices and generates check requisitions
Maintain all departmental files and records
Open and route mail, maintains and orders office supplies
Serve as a point of contact for volunteers, fellows, users of the Harvey Fierstein Lab, and other non-staff individuals who utilize our space
Perform other related duties as required
Required Education, Experience & Skills
Required Education & Certifications
Bachelor's degree
Required Experience
Demonstrated administrative experience supporting an arts or educational office
Required Skills
Strong computer skills, including proficiency with Google Suite, Microsoft Word and Excel
Strong verbal and written communication skills
Ability to work under pressure and meet deadlines with judgment, accuracy, and attention to detail
Strong interpersonal skills, including the ability to deal tactfully and effectively with Library staff, theatre professionals, vendors, and the public
Ability to execute and prioritize daily office routines
Ability to proofread and fact check documents related to New York City theatre (both contemporary and historical)
