Principal Purpose of Job: Answer all incoming calls. Conduct administrative and some AR functions by performing various duties requiring organization systems and procedures.
Level of Authority: Performs routine duties independently, setting priorities and scheduling own work in accordance with established and general policies and procedures. Responsible for sound judgment, thoroughness and competence where failure to perform effectively and efficiently could have serious impact on company operations. Not responsible for supervising any other employees.
Work Environment: Most of the work is performed in a fast-paced office setting with frequent interruptions and with the need to deal with a great diversity of people.
Essential Job Functions:
Answer all incoming telephone calls and relay conversation and pertinent messages to others while maintaining accuracy, clarity and confidentiality.
Maintain front office files and office supply inventory, includes ordering necessary office supplies.
Prepare invoicing to customers for some service and quoted work, ensuring accuracy and efficiency.
Assist Project Managers with partially monitoring Accounts Receivable and following up on past due items.
Offer light support to HR department. Must have a strong sense of discretion. Perform administrative work, including scheduling, maintaining files and assisting with logistics for new hire orientation.
Offer support to the controller.
Greet all visitors in a friendly and professional manner.
Receive and distribute mail.
Minimum Job Requirements:
Must have at least a high school education or equivalent
Must have at least 3 years of office accounting administrative experience. Construction office background preferred.
Must be able to operate a computer and use Microsoft programs including Outlook, Excel and Word.
Physical:
Ability to sit at a workstation for extended periods.
Ability to stand, bend and work throughout the day.
Other:
Ability to handle multiple interruptions and adjustments to priorities throughout the day.
Exceptional memory and organizational ability, in order to set priorities, organize workload, handle multiple responsibilities and meet deadlines.
The ideal candidate will be capable of learning our systems with minimal supervision. He or she should be extremely organized and have great time management skills.
Use of Tools:
Standard office equipment including personal computer, multi-line telephone system, fax machine and 10-key calculator.
OTHER:

The salary range for this position will be based on experience.
