Description We are looking for an organized and detail-oriented Administrative Assistant to join our team in Beachwood, Ohio. As the first point of contact, you will play a key role in ensuring smooth daily operations and providing excellent support to both internal teams and external stakeholders. This is a long-term contract position offering the opportunity to work in a dynamic and collaborative office environment.
Responsibilities:
Serve as the primary point of contact for incoming calls, ensuring inquiries are handled efficiently and effectively.
Manage and maintain schedules by coordinating appointments, meetings, and events.
Perform accurate data entry and maintain organized records for easy retrieval.
Oversee email correspondence, responding promptly and appropriately to internal and external communications.
Utilize Microsoft Office Suite tools such as Word, Excel, PowerPoint, and Outlook to create and manage documents and presentations.
Support mass mailings and communication initiatives, ensuring timely delivery of materials.
Assist with maintaining an organized office environment, including inventory management and administrative tasks.
Use a multi-line phone system to handle inbound and outbound calls effectively.
Provide exceptional customer service by addressing client and team needs promptly.
Collaborate with various departments to ensure seamless operations and project support. Requirements - Proven experience in administrative roles, demonstrating strong organizational skills.
Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
Ability to handle multi-line phone systems and manage high call volumes.
Strong communication skills, both written and verbal, with a detail-oriented approach.
Detail-oriented with the ability to manage multiple tasks and prioritize effectively.
Experience in scheduling meetings and appointments with accuracy and efficiency.
Familiarity with Salesforce is a plus but not required.
