Position Title:Human Resources Coordinator
Location:St. Charles, MO
Position Summary:The HR Coordinator must be highly adaptable and
proactive with the ability and experience to manage the day-to-day
operations of a dynamic office environment. Must be skilled in handling
administrative tasks, employee support, and office coordination with
efficiency and discretion. This position requires the ability to thrive
in ambiguous situations by taking initiative, problem-solving, and
ensuring a seamless workflow. Must be adept at balancing multiple
priorities while maintaining a positive and organized workplace with a
commitment to fostering a supportive and productive environment for
employees at all levels.
Job Responsibilities:
Serve as point of contact on HR related matters including
onboarding, employee records management, benefits administration,
training/development, and employee engagement.
Process newly hired employees into HRIS System. (INOVA, formerly
Integrated Payroll System).
Self-audit new hire electronic files and maintain active/inactive
employee paper files.
Initiate approval workflow and make final updates for newly hired
employees, employee statuses changes, and other personnel data
changes within INOVA.
Train employees on payroll system (INOVA), including logging in/out,
direct deposit set up, etc. and assist employees with navigating and
utilizing Quantum.
ISO Requirements:Assist with tracking Introductory and Annual
Reviews, ensuring timely completion and compliance.
Coordinate pre-employment physical/drug screens and appropriate
background checks for all pre-hires.
Compile data from electronic personnel records to generate various
reports.
Maintain training records including Missouri Customized Training,
external seminars, and internal training.
Assist with onsite Safety, Compliance and other company sponsored
training programs. Maintain training records where applicable.
Maintain a list of employees with CDL, Class E, and Chauffer
licenses. Ensure appropriate annual certification and physical
requirements are met.
Manage the distribution of weekly and bi-weekly all-employee
information and notifications, ensuring clear and timely
communication.
Update content on TV monitors to keep employees informed of key
announcements and company updates.
Process and track invoices related to HR and office operations
ensuring accuracy and timely payment.
Provide administrative support for the HR team, including document
preparation, data entry, and accurate record-keeping in compliance
with company policies and regulations.
Other duties, as assigned.
Required Skills and Experience:
High school diploma and a minimum of 2 years of Human Resources or
similar work experience in a fast-paced environment.
Must be approachable with strong interpersonal skills to effectively
support employees at all levels.
Strong experience with Microsoft Office Product Suite (Word,
PowerPoint, Excel, Outlook, OneDrive, and Teams).
Highly skilled in prioritizing tasks, with the ability to pay
attention to detail.
Excellent time management skills with a proven ability to prioritize
tasks efficiently and meet deadlines.
Demonstrate high integrity and discretion in handling confidential
information.
Knowledgeable of or the ability to quickly learn HRIS system INOVA.
Capableof working independently with the ability to troubleshoot
issues and knowing when to escalate problems.
Must demonstrate a consistent and stable work history, along with
strong verbal and written communication skills.
