Board Minutes
Draft, review, finalize, and ensure signature completion for subsidiaries.
Records Management
Maintain and rotate records (e.g., corporate, lease, deeds, and minutes binders).
Retain four years of minutes, archive digitally, and secure original documents.
Filing
Perform weekly filing, create/manage new file spreadsheets, and scan or shred documents based on retention requirements.
Contracts & Agreements
Ensure execution, filing, and follow-up for contracts.
Judgments
Track and update court judgment records via spreadsheets.
Renewals
Process 145+ annual business renewals and manage 125+ fictitious business name (FBN) renewals in collaboration with service providers.
Oversee UCC filings, business registrations, closures, and local business license renewals.
Mail & Incoming Documentation
Sort legal mail and process third-party materials (legal notices, complaints, etc.) for distribution or filing.
Invoices
Assess, route, and forward invoices for approval or accounting.
Administrative Support
Coordinate daily lunches, maintain office supplies, support call routing, and update the department's organizational chart.
Expense Processing
Reconcile monthly expense statements and submit all required documentation to accounting.
IT & Platform Liaison
Address IT issues, manage legal system tasks and cases, and ensure document statuses are current.
Retention Compliance
Manage litigation holds, retention policies, and reminders for individuals without email access.
Acquisitions Support
Track acquisition progress, manage documentation flow, and liaise with involved parties (e.g., title companies).
Collections Duties
Demand Letters
Draft letters for customers, property owners, and title companies.
Ownership Verification
Conduct ownership research as part of legal actions.
Mechanics Liens
File/release lien documents, monitor deadlines, and process filings.
Stop Notices & Bond Claims
File/release Stop Notices (private and public) and ensure bond claims are followed through with adjusters.
Customer Communication
Handle correspondence with property owners and clients about legal updates.
Promissory Notes
Draft promissory notes for overdue payment agreements.
Litigation Support
Assist with complaints, service filings, proofs of service, and case documentation organization.
Judgment Management
Maintain default judgments, renew notices, dismiss parties, and track abstracts of judgment.
Bankruptcy Monitoring
Perform bankruptcy research and adjust workflows to reflect findings.
Task & Calendar Monitoring
Oversee legal task calendars to ensure deadlines are met and send reminders as needed.
