Description We are seeking a highly organized and detail-oriented Administrative Assistant to join our team! In this multi-faceted role, you will act as a central support system, ensuring efficiency, organization, and effective communication across the team. This position is ideal for someone who thrives in a fast-paced environment, has excellent interpersonal skills, and is a strong multitasker. Day-to-Day Responsibilities: Provide exceptional customer service by managing inbound calls, addressing inquiries, and ensuring client satisfaction. Oversee email and calendar management, including scheduling meetings, maintaining agendas, and tracking deadlines. Prepare detailed agendas, briefing materials, and minutes for meetings, ensuring follow-up on action items as needed. Act as the primary liaison between the CEO/COO and internal/external stakeholders, such as staff, donors, board members, and community partners. Perform accurate data entry in spreadsheets, CRMs, and other systems. Manage email correspondence, drafting detail oriented responses in a timely and efficient manner. Assist with organizational reporting, presentation preparation, and other special projects as required. Requirements You'll Need to Succeed: Prior Administrative Experience: At least [choose years, e.g., 2+ years] in an administrative or customer service role. Technical Aptitude: Proficiency with tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Teams, or Slack). Strong Communication Skills: Excellent verbal and written skills for engaging with clients and team members. Detail-Oriented Mindset: Demonstrated ability to manage tasks with accuracy and focus. Problem-Solving Skills: Ability to handle challenges proactively and efficiently. Team-Player Attitude: Works well in a collaborative environment while also excelling independently. Requirements - A minimum of 3 years of experience in an administrative support role.
Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
Strong technical aptitude and ability to learn new systems quickly.
Exceptional organizational skills with keen attention to detail.
Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
Excellent communication skills, both written and verbal.
Previous experience managing calendars and scheduling appointments.
