Description

Key Responsibilities:
Organize and maintain office systems, including filing contracts, scanning documents, and managing other administrative workflows using Microsoft OneDrive or similar tools.
Answer calls and emails with professionalism to assist clients, vendors, and internal team members, ensuring prompt issue resolution.
Create and process invoices for accounts payable and accounts receivable using QuickBooks Desktop or equivalent accounting software.
Coordinate team schedules, ensuring meeting calendars are updated and that deadlines are communicated clearly.
Monitor office supplies, making purchase orders as needed to maintain department efficiency.
Support department managers on special projects, event planning, and ad-hoc tasks as required.
Maintain updated mailing lists and contact databases for internal communications efforts.
Requirements
High school diploma required; Associate's degree or vocational training in business administration preferred.
2+ years of administrative support experience in an office setting.
Proficiency in Microsoft Office Suite and QuickBooks Desktop; familiarity with document management software.
Excellent time management skills and adaptability for handling diverse tasks.
Strong interpersonal skills with the ability to work collaboratively across teams.
