Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
High School Diploma/ GED .
2-3 years of experience in providing advanced administrative support in a higher education academic setting.
2-3 years of experience with computer software such as Zoom, Microsoft Office products (i.e. MS Word, MS Excel, MS PowerPoint, MS Teams), and/or Adobe products.
Skill in preparing well-written, grammatically correct, accurate documents with strong proofreading skills.
Strong organizational skills, attention to detail, and problem solving.
Excellent interpersonal and communication skills.
Ability to work with difficult situations, time pressure, and interruptions.
Ability to practice professionalism and discretion.
Preferred Qualifications
Bachelor's degree or some college coursework.
Experience using SAP , Adobe Sign, Concur, or 25Live software.
Experience preparing travel requests and expense reports using Concur Travel.
Experience working in higher education for a VP or dean.
Knowledge of university and Academic Affairs Policies and Procedures.
Job Description
The Administrative Assistant III provides administrative and clerical support to the McCoy College of Business Dean's Office, which includes the Senior Assistant to the Dean, Assistant Dean, and two Associate Deans.
Job Duties
Duties include:
Assist with travel arrangements and prepare travel requests and reimbursements using Concur.
Assist with calendars, when needed.
Assist in facilitating student appeals.
Oversee Dean's List Certificate process.
Organize, prioritize, direct, and explain office work assignments to student workers, as well as maintain student worker schedules.
Supervise student workers, as needed.
Keep track of due dates for all assignments and projects.
Oversee key checkout system and reserved parking for guests.
Maintain and review college directory and contact lists for completeness.
Prepare and manage spreadsheets as needed.
Compose, @type, and proofread a range of documents including correspondence and reports.
Assist in the preparation of various McCoy College activities and events.
Work with building and classroom supervisor in resolving new and existing issues through submitting proper work orders.
Maintain the classroom scheduling system for the entire college, making room reservations, changes, and cancellations.
Assist with the collection of department rosters and instructor schedules.
Maintain student complaint log.
Oversee and manage incoming telephone calls, including screening, transferring, and taking messages.
Greet, screen, and route office visitors.
Monitor the inventory of office supplies and order new and replacement supplies as needed.
Monitor McCoy College calendar, email mailbox, and voicemail.
Other duties as assigned.
